Technical Writing & Documentation Internship


Job Summary
  • This credit-bearing internship will run the duration of the upcoming semester.
  • Assist with writing and updating user documentation that helps our clients gain a clear understanding of how to use our software products in the most effective manner related to their organization’s own unique needs.
  • Write user documentation that takes into consideration the knowledge and skill base of various end-users, who broadly range in ability.
  • Learn how to use a variety of software platforms, including ClearView CRM, Joomla! CMS, Mimic, Capture, and Google Docs.
  • Work within an Agile development cycle, which requires quick turn-around of new and updated user documentation and release notes, per a three-week development schedule.
Key Responsibilities
  • Work closely with the lead documentation specialist and a team of business analysts, software engineers, usability testers, trainers, client services technicians, and end users to write, test, modify, and distribute high-quality how-to documentation using a variety of delivery vehicles, like web publication, print-based outputs and videos:
    • Write and revise online help articles using Joomla! CMS.
    • Write and revise print-version user documentation using Google Docs.
    • Assist with converting and optimizing our image collection using Capture.
    • Assist in the creation of interactive video tutorials using Mimic and Capture.
      • Note: Prior knowledge of Mimic, Capture, Joomla!, and/or Google Docs products is not mandatory; self-motivated to ramp up on these platforms through independent study and practice is required.
  • Revise and proofread user documentation and tutorials in the aforementioned various formats for both content accuracy and ease of use; provide clear, meaningful improvement suggestions as needed.
  • Self-driven to ramp up on a general understanding of the nonprofit sector that we cater to, as well as SofTrek’s software products, primarily ClearView CRM; during ramp up period, provide feedback on our existing collection of resources to help support the continual improvement and evolution of our learning materials.
  • Support the creation and maintenance of an internal collection of resources, geared towards ongoing best-practices research, as well as reference materials for the development and client services teams.
  • Other related tasks as required.

Job Requirements
  • Currently enrolled in a 4-year English program, or a closely related major.
  • A genuine interest in learning more about working in the fast-growing fields of technical writing and information architecture.
  • Able to take complex concepts and procedures, and make them clear and obtainable to end-users with varying degrees of ability.
  • Self-motivated; able to learn new concepts, methods, and systems through self-study and self-driven practice.
  • Deadline-oriented; able to work in a fast-paced environment, producing high-quality outputs within the allotted timeframe.
  • Team player; works well with a broad latitude of personalities and skill sets.
  • Exceptional written communication skills and strong verbal communication skills.
  • Intermediate computer abilities; some familiarity with word processing products, and utilizing the Internet for research and use of web applications is required:
    • Experience using Mimic, Capture, Joomla! and/or Google Docs is a plus, but is not required and should not deter you from applying for this internship.
  • A 12 – 15 hours weekly time commitment is required.
  • Reliable; adheres to a mutually agreed upon schedule, with consistent punctuality and a professional demeanor.
  • Must be able to provide your own reliable transportation to our Amherst, New York location.
